 Basic Short Cut Keys Used in Excel

1. The "Big Five" (Universal Essentials)

These work in almost every Windows application, but they are the bread and butter of Excel data entry.

  • Ctrl + C: Copy selected cells.

  • Ctrl + V: Paste copied data.

  • Ctrl + X: Cut selected cells.

  • Ctrl + Z: Undo the last action (the most important key for experimentation!).

  • Ctrl + S: Save your workbook.


2. Navigation & Selection

Moving through large spreadsheets with a mouse is slow. Use these to jump across thousands of rows instantly.

  • Ctrl + Arrow Keys: Jump to the edge of the current data region (top, bottom, left, or right).

  • Ctrl + Shift + Arrow Keys: Extend the selection to the last non-blank cell in that direction.

  • Ctrl + Home: Jump to cell A1.

  • Ctrl + End: Jump to the last cell that contains data or formatting.

  • Shift + Space: Select the entire row.

  • Ctrl + Space: Select the entire column.


3. Cell Editing & Formatting

Quickly change how your data looks without hunting for the "Format" menu.

  • F2: Edit the active cell (places the cursor at the end of the text).

  • Ctrl + 1: Open the Format Cells dialog box.

  • Ctrl + B: Apply or remove Bold formatting.

  • Ctrl + Shift + $: Apply the Currency format ($).

  • Ctrl + Shift + %: Apply the Percentage format (%).

  • Alt + H, A, C: Center-align cell contents (sequential keys).


4. Basic Formulas & Data Entry

  • Alt + =: The AutoSum shortcut. It automatically creates a SUM formula for the adjacent cells.

  • Ctrl + ;: Insert the current Date.

  • Ctrl + Shift + :: Insert the current Time.

  • Ctrl + D: "Fill Down" (copies the content and format of the top cell in a selected range into the cells below).

  • Ctrl + R: "Fill Right" (copies the content to the right).


5. Managing the Workbook

  • Ctrl + N: Create a new workbook.

  • Ctrl + Page Up / Page Down: Switch between worksheet tabs (Left/Right).

  • Ctrl + F: Find specific text or values.

  • Ctrl + H: Find and Replace.
